Bookkeeping Services — Frequently Asked Questions
What bookkeeping software do you use?
We work primarily in QuickBooks Online. If you are on a different platform, contact us — we may be able to accommodate your setup or help you migrate to QuickBooks.
How do I share my documents with you?
We use secure document sharing through QuickBooks or a dedicated client portal. You can connect your bank accounts directly, or upload statements and receipts as needed. No faxing, no mailing.
What if my books are a mess?
We offer catch-up bookkeeping to get your books current, no matter how far behind you are. We will quote a one-time catch-up fee based on the number of months to be cleaned up, then transition you to a monthly plan.
Do I need to be on QuickBooks?
We strongly recommend QuickBooks Online for its integration capabilities and ease of use. If you are not currently on QuickBooks, we can help you get set up. A QuickBooks Online subscription is required for our bookkeeping services.
How long does it take to get started?
Most clients are fully onboarded within one to two weeks. We gather your account access, review your chart of accounts, and begin reconciling from your chosen start date.
DIY Bookkeeping vs. Hiring a Professional
Many small business owners start by doing their own books. Here's an honest look at when that works — and when it costs more than it saves.
| Factor | DIY Bookkeeping | Professional Bookkeeping |
|---|---|---|
| Monthly cost | Software only ($30–$50/mo) | Flat rate starting at $200/mo |
| Time required | 5–15 hours/month | Zero — we handle it |
| Accuracy | Depends on your skill level | Reconciled monthly, guaranteed |
| Tax readiness | May miss deductions | Books ready for your CPA |
| Catch-up needed? | Often yes — errors compound | Clean from day one |
| Scales with growth | Gets harder as you grow | Same flat rate as you scale |
| Audit protection | You're on your own | Organized records, full support |
Most business owners find that professional bookkeeping pays for itself in time savings and missed deductions recovered.
Is It Right for You?
Who Needs a Professional Bookkeeper?
Not every business is at the same stage — but most small business owners reach a point where DIY bookkeeping costs more than it saves. Here's how to know when you're there.
You're spending hours on bookkeeping every month
Time is your most valuable resource. If you're spending 5–15 hours a month categorizing transactions, chasing receipts, and reconciling accounts, that's time you're not spending on clients, sales, or growth. A professional bookkeeper handles all of it — typically in a fraction of the time — because it's what they do every day.
Your books are behind or you're not sure they're right
Messy or behind books don't just cause stress — they cause real financial damage. Missed deductions, inaccurate P&L reports, and unreconciled accounts mean you're making business decisions based on bad data. If you're not 100% confident your books are accurate, that's a signal to bring in a professional.
Tax season is always a scramble
If you're handing your CPA a shoebox of receipts or scrambling to pull together records in March, your bookkeeping process isn't working. Clean, reconciled books delivered monthly mean tax season is just another month — not a crisis. Your tax preparer works faster, makes fewer errors, and finds more deductions when the books are already done.
You're growing and the complexity is increasing
A solo freelancer with 10 clients can manage their own books. A business with employees, multiple revenue streams, inventory, or contractors cannot — at least not without significant risk. As your business grows, the cost of bookkeeping errors grows with it. Professional bookkeeping scales with you and keeps your financial foundation solid.
What Does a Bookkeeper Actually Do?
A professional bookkeeper records and categorizes every financial transaction in your business — income, expenses, payroll, loans, and more. They reconcile your bank and credit card accounts monthly to catch errors and fraud, generate financial reports (profit & loss, balance sheet, cash flow), and keep your books tax-ready year-round.
At The Gap ProAdvisors, our bookkeeping service goes beyond data entry. We use QuickBooks Online to maintain your books, flag unusual transactions, and deliver monthly reports you can actually understand. We also coordinate directly with your tax preparer — or handle your taxes ourselves — so nothing falls through the cracks.
Our clients are small business owners across all 50 states — contractors, consultants, retailers, restaurants, real estate investors, and more. We work 100% remotely, so you never need to visit an office. You share documents securely, we handle the books, and you get clean financials every month.
