Behind on Bookkeeping in Abilene, TX? Here Is How to Fix It Fast

You have not touched your books in months. Maybe longer. Tax season is either here or coming fast, and you have a pile of bank statements, a QuickBooks file you are afraid to open, and no idea what your business actually made last year.

You are not alone. This is the most common situation we deal with at The Gap ProAdvisors — Abilene and West Texas small business owners who got busy running their business and let the books slide. It happens to contractors, retailers, service businesses, real estate agents, and everyone in between.

Here is the part that matters: it is completely fixable. And it does not take as long as you think.

How Bad Is It, Really?

Before you spiral, let's put some numbers on it. Here is what catch-up bookkeeping actually looks like in terms of time:

How Far BehindTypical Turnaround
1–3 months1–2 business days
4–6 months3–4 business days
7–12 months5–7 business days
1–2 years2–3 weeks
2+ years3–6 weeks

If you are six months behind, you can have clean books in less than a week. If you are a year behind, you can have clean books in about a week and a half. The situation that feels overwhelming is, in practice, a defined project with a defined end date.

What Is Actually Keeping You Up at Night

Being behind on bookkeeping is not just an administrative problem. Here is what it actually costs you:

You do not know if your business is profitable. Without accurate books, your profit and loss statement is fiction. You might be making money. You might not be. You genuinely do not know — and that means every business decision you make is a guess.

You are probably overpaying taxes. When books are incomplete, expenses get missed. Missed expenses mean higher taxable income. Higher taxable income means a bigger tax bill. The IRS does not give refunds for deductions you forgot to claim.

Your tax preparer cannot help you. If you walk into tax season with unreconciled accounts and uncategorized transactions, your CPA or tax preparer either has to do the bookkeeping themselves (and charge you for it) or send you away to fix it first. Either way, you are paying more and filing late.

You cannot get a loan or line of credit. Any lender — bank, SBA, equipment financing — will ask for two years of financial statements. If your books are a mess, you cannot produce them. That means no financing when you need it most.

The stress is costing you. Every week you carry the weight of knowing your books are wrong is a week you are not fully focused on your customers, your team, or your growth.

The Moment That Usually Triggers the Call

Most Abilene business owners who call us are in one of these situations:

Tax deadline is coming and their preparer needs clean books. This is the most common. The CPA asks for a profit and loss statement and a balance sheet, and the business owner realizes they cannot produce one.

They applied for a loan and got asked for financials. A bank or the SBA asked for two years of financial statements. The business owner opened QuickBooks and realized the numbers are wrong.

They got a notice from the IRS. An audit, a discrepancy notice, or a request for documentation. Suddenly clean books are not optional.

They are trying to sell the business. A buyer or their attorney asked for three years of financials. The business owner realized they do not have them.

They just hit a wall. No specific trigger — they just cannot keep ignoring it. The stress finally outweighed the avoidance.

Whatever brought you here, the answer is the same: get the books caught up, get them right, and put a system in place so it never happens again.

What "Caught Up" Actually Means

Getting caught up is not just entering transactions. It means three specific things are true when we are done:

Every transaction is categorized correctly. Every deposit, every expense, every transfer — assigned to the right account. No more "Uncategorized Expense" black holes. No more transactions sitting in limbo.

Every bank and credit card account is reconciled. Your QuickBooks balance matches your actual bank statement for every account, for every month. This is the only way to know your numbers are right.

Your reports are accurate. Your profit and loss statement and balance sheet reflect what actually happened in your business. You can hand them to a lender, a tax preparer, or a buyer and stand behind the numbers.

Until all three are true, you do not have reliable financial data. Once all three are true, you do.

How the Catch-Up Process Works

You do not need to come to our office. There is no office. We work with Abilene clients entirely online — you share access to your QuickBooks file, we do the work, and you get caught up without leaving your desk.

Here is the process:

Step 1: Free assessment. You call us at (325) 572-3130 or fill out our QBO Health Check. We ask a few questions about how far behind you are, what software you use, and what records you have. We give you a flat-rate quote and a realistic timeline before we start.

Step 2: You grant us access. You give us accountant access to your QuickBooks file through Intuit's built-in accountant access feature. This is secure and standard — it does not give us access to your bank accounts, only your QuickBooks data.

Step 3: We do the work. We go through every month systematically — categorizing transactions, reconciling accounts, removing duplicates, and fixing errors. We reach out if we have questions about specific transactions, but most of the work happens without interrupting your day.

Step 4: Clean reports and handoff. We walk you through the finished file, show you what we found and fixed, and hand you a clean profit and loss statement and balance sheet. You will know exactly where your business stands.

What It Costs

Catch-up bookkeeping is priced as a flat rate based on how many months need to be caught up and your transaction volume. Most Abilene small business owners pay between $75 and $150 per month of catch-up work.

If you are six months behind with moderate transaction volume, expect to pay roughly $450–$900 total. You get the number before we start — no hourly billing, no surprise invoices.

After catch-up, most clients move to our monthly bookkeeping service starting at $200/month. That keeps the books current, reconciled, and ready for tax season year-round — so you never end up back in this situation.

What If You Do Not Use QuickBooks?

We work primarily with QuickBooks Online. If you have been tracking things in a spreadsheet, using a different software, or not tracking at all, we can still help. We will assess what records you have and build a plan from there. If you do not have QuickBooks, we can set it up as part of the catch-up process.

If you are on QuickBooks Desktop, we can migrate you to QBO during the catch-up. The migration is straightforward and makes ongoing bookkeeping faster and easier.

What If You Also Need to File Back Taxes?

This is common. If you are behind on bookkeeping, you may also be behind on tax filings — or you may have filed with incorrect numbers and need to amend.

We can get your books in order and prepare them for your tax preparer, or handle the tax preparation ourselves. Many of our Abilene clients come to us specifically because they need both done before a deadline. Tell us your situation upfront and we will build a plan that addresses both.

Frequently Asked Questions

I am embarrassed about how far behind I am. Will you judge me? No. We have cleaned up files that were four years behind with no reconciliation ever done. Whatever your situation is, we have seen worse. Our job is to fix it, not to make you feel bad about it.

What if I have no records at all — no receipts, no statements? We can work with bank statements alone. Most banks allow you to download statements going back two or three years online. If you need older statements, your bank can usually provide them. We will tell you exactly what we need before we start.

Will fixing my books change what I owe in taxes? It might. Correcting your books may reveal expenses you missed — which lowers your taxable income and your tax bill. If the corrections are significant, we flag them so you can discuss with your tax preparer before filing.

Can you work with my existing CPA? Yes. We work alongside CPAs and tax preparers regularly. We handle the bookkeeping; they handle the tax returns. We can coordinate directly with your CPA if that is helpful.

What if I need this done by a specific deadline? Tell us the deadline upfront. We will tell you honestly whether we can meet it. In most cases, we can — catch-up bookkeeping moves faster than most business owners expect.

Stop Carrying This

The longer you wait, the more months pile up and the more it costs to fix. More importantly, every week you carry the stress of knowing your books are wrong is a week you are not fully focused on your business.

Call us at (325) 572-3130 or schedule a free consultation. We will tell you exactly what it will take to get caught up, what it will cost, and how fast we can do it. No obligation, no pressure.

We serve Abilene, Taylor County, and all of West Texas — 100% remote, no office visit required.
